Count the equipment as it will travel
List every flight case, speaker, stand bag and separate accessory. A sound system described as one hire package may become several handling units. Give the packed length, width and height, the total weight and the weight of unusually heavy cases. Mention wheels, projecting handles and anything that must stay upright.
Close and secure cases before the agreed collection. Keep cables and accessories in their intended containers so the handover can be checked against a consistent count. For valuable equipment, declare the details so the relevant cover can be discussed before acceptance. See our event transport service for the booking scope.

Use the loading entrance, not the guest entrance
Supply the event name, room or hall, stand or stage reference and the entrance the vehicle should use. Include any loading slot or vehicle registration procedure given by the organiser. A hotel or arena may have several receiving points, and its public postcode does not explain where equipment must go.
Name the person who will meet the driver and confirm that they will be on site. Explain whether the handover is at the loading bay or includes an agreed carry. Tail-lift requirements, ramps or a two-person crew must be assessed before dispatch.
Separate delivery time from setup time
Tell the courier when the equipment must be available to the technical team, not simply when the doors open. Allow the receiving team to plan unloading and setup. Give the hire desk release time as well: an arrival request cannot be assessed without knowing when collection can begin.
For a time critical delivery, the route, suitable vehicle and receiving window are confirmed together. Keep the site contact reachable for updates. Do not assume that transport includes equipment installation, rigging, connection or testing; those tasks require their own arrangement.
Plan the return before the event starts
Breakdown can have different access rules from build-up. Confirm when the kit will actually be packed, where it will wait and who is responsible for releasing it. Include the hire company return deadline and opening hours. A late-night collection needs a workable receiving plan at the other end.
Recheck the case count when the equipment is ready to return. If the load has changed, tell the team rather than relying on the outbound booking. Use the fleet guide to understand space and payload, then request a quote covering both journeys, handling and any waiting.
Keep the case list and the return requirements together
Use a clear case list at collection, including loose accessories that are not inside a case. Identify any equipment that must remain with a particular package. A case count helps the sender, driver and recipient check the handover without relying on an informal description of the sound or lighting system.
For hired kit, check the return opening hours and deadline before the show starts. Venue breakdown can finish later than expected, so identify who will remain with the packed goods and who can agree a changed collection. Tell the transport team promptly if cases, quantities or receiving arrangements change; the return should be assessed from the load that is actually ready.

Common questions
Can flight cases travel with other event items?
Describe every item so the vehicle space, payload and securing plan can be assessed together.
Is setup included?
Equipment setup, rigging and connection are not automatically included in transport. Agree any additional task before booking.
Can you collect after an event?
Out-of-hours collections can be assessed against availability, venue access and the return receiving arrangements.
Do wheeled cases automatically need a tail lift?
Not necessarily; the weight, dimensions, access and agreed handling determine the requirement. State whether cases have wheels and what help is available at both addresses. The team confirms the vehicle and unloading method before booking.
What should I tell you about batteries in the equipment?
Declare the contents and provide relevant classification or handling information when enquiring. Do not assume equipment is unrestricted because it is inside a flight case. Suitability and any dangerous-goods requirements are assessed before acceptance.
Who is responsible for signing at the venue?
Name a person who is authorised to receive the full load and can meet the vehicle at the agreed entrance. Give a mobile number and the event reference. A stand number without a reachable contact does not establish a workable handover.
